Job Description • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. • Receiving quotations and arranging hotel & flight bookings. • Liaise with maintenance of the building for any problems in the office – air conditioning etc. • Sourcing & purchasing &maintaining office stationary, regularly checking with various companies to reduce cost. • Liaising with the office drivers in regards to the arrivals of guests. • Prepare the conference room in case of any meetings that have been set up. • Ad-hoc duties for the Managing Director and any Department Heads. • Provide refreshments for guests if required . •Maintain the video recording system in the office on a daily basis • Maintains safe and clean reception area by complying with procedures, rules, and regulations. • Contributing to team effort by accomplishing related results as needed. • Maintaining key records and updating telephone directory internally and telephone numbers of staff. • Prepare correspondence and documents as and when required. • Working closely with the Human Resources Manager. • Prepare Monthly reports for Holiday / Sickness / Stationary • Maintain staff business cards
